Set-off against

In this box you see the accounts payable and accounts receivable that can be set-off against the entered invoice in the box Invoice to set-off. It is not possible to add or delete rows. You mark the rows to set-off in the checkbox to the left of the invoice number.

Prerequisites for set-offs against supplier invoices:

  • The customer on the debit invoice you entered, must also exist in the supplier register (match made with the help of VAT registration number or corporate ID number).
  • You must have unpaid supplier invoices to the supplier who is also a customer on the debit invoice you have entered to set-off against the supplier invoice.

Set-off

Here you select which records to set-off. A record is suggested for automatic set-off if there is an invoice with a remaining amount which exactly match the amount to be set of in the box above. For example, if you enter a credit of the amount 100 Euro to set-off, and you at the same time have a debit invoice with the same amount. The system will then suggest you to set-off the invoices against each other. In other cases, the set-off has top be performed manually. When you select a record/invoice to be set-off, the field in the column Amount to set-off will become possible to edit. The amount suggested for set-off depends on how much that is left to set-off on the record. It also depends on the remaining amount left on the invoice which the amount should be set-off against.

Number

In this column you see the invoice number from the customer or supplier. For customer invoices you will also see a button you can use to review the invoice.

Customer/Supplier

Here you see the customer number or the supplier number. The name is shown in the field to the right.

Due date

In this column you see the due date for the accounts payable/accounts receivable record.

Remaining amount

Here you see the remaining amount in the currency of the accounts receivable/accounts payable record. This refers to the current remaining amount without any consideration taken to set-offs made in this procedure against the invoice in question.

Amount to set-off

Here you see the amount to set-off. It is displayed in the same currency as the accounts payable/accounts receivable record. This field is not available if you have not marked that the row should be set-off. The remaining amount of the invoice is suggested by default. If the New remaining amount in the box above, is less than the remaining amount of the invoice, the system will suggest the lower remaining amount. In the Write-off field, a partial payment will then be suggested. It is possible to change to another write-off code.

It is possible to change the amount in the field Amount to set-off. A validation is made to make sure that the amount does not exceed the remaining amount of the invoice. Also, it is not possible to enter an amount which make the total amount to set-off in the box Set-off against, exceed the remaining amount.

Write-off

This field is available if the entire remaining amount should not be set-off. Partial payment will be suggested.

Exchange rate

Here you see the exchange rate for the accounts payable/accounts receivable record.

Rate difference

This column displays the rate difference, if any, which is created for the accounts payable/accounts receivable record if the exchange rates are different on the accounts payable/accounts receivable record and the invoice against which you perform the set-off. The posting of this difference is always made on the invoice which you set-off against.

Interest charge

This column is only available if customer invoices are the ones shown in the table. The interest is automatically checked according to the same rules as under the Register manually tab.

Interest amount

This column displays the interest amount which will be charged if the incoming payment is late. This column is only available when customer invoices are shown in the table.

Comment

In this column you can enter a comment regarding the accounts payable/accounts receivable record.

Invoice type

In this field you see the type of invoice of the accounts payable/accounts receivable record.
