Scan documents

This procedure is used to scan documents and also to scan invoices if the option Electronic Invoice Management (EIM) is installed. The procedure is also used to scan receipts/documents that you want to link to vouchers,

You use the procedure when you scan paper invoices and other documents. These will be saved as PDF files in one or several inboxes when scanning. The image files can then be linked to the respective supplier invoice in the ledger or voucher. This linking is done in the Register supplier invoice, Register vouchers or Manage bank transactions procedure.

In this procedure, you can also register paths for PDF and XLM inboxes* to EIM and register attachments types for EIM. You can also add and delete attachments (e.g. travel claims, delivery notes, etc.) from invoices.

You should create a separate PDF inbox for documents that you link to vouchers. The documents are shown in several different lists in the system, for example in the Voucher list, General ledger, Balance information, and Accounting reports. You can also create PDF inboxes for documents you want to link to payment records in the Manage bank transactions procedure. The supported file formats are PDF and TIFF.

Toolbar

In the toolbar of the Scan documents procedure you find the Scan button . You use it to scan invoice/document images when you have selected an inbox. The scanned images will then be shown in the Scanned images box.

At the bottom of the procedure window, you can see how many image files there are in the selected Inbox under the Scan tab.

In the EIM option an agreement with Crediflow is included via Monitor ERP System AB and you can also import scanned and interpreted invoices directly via an API in Monitor ERP.

* If you already engage a different e-invoice supplier than Crediflow, there is support to import e-invoices in the Peppol BIS 3.0 format to a separate XML inbox.
