Register shipment
In this procedure you can export information regarding shipments to your shipping agents and they will return/deliver transport documents with correct information for you to print. You can also use EDI EDI is the acronym of Electronic Data Interchange. EDI is about exchanging electronic business documents with your business partners, e.g. customers and suppliers. The EDI concept can be wide and a bit unclear, and can many times be used about all types of documents which are sent electronically, even if it might be PDF files sent via e-mail or publishing business documents on a website. What we refer to as EDI – and what is traditionally meant by EDI – is structured business documents following given standards, electronically sent or received and which are compiled and interpreted automatically and that is integrated with the customer's/supplier's ERP system. to export dispatch advice for pick lists with package structure to your customers.
You must select at least one Source of information before you can edit any information in the procedure.
Before you can export for the first time, you must have configured shipping settings for nShift Delivery, nShift Web-TA, Logtrade, or Export to file in the system.

- Enter your account information for nShift Delivery, nShift Web-TA or Logtrade under the Shipping export type in the Settings for export/import procedure.
- Configure all shipping agent-specific settings, such as services and additional services, in your account at nShift or Logtrade. There you also find templates for shipments which you can use as bases in order to configure your default shipment settings and name them. You access your nShift or Logtrade account by using the Login to [shipping service] button
on the toolbar in this procedure.
- In the Users procedure you add Local printer for the documents Shipping – Label and Shipping – Waybill. You also choose label in the Printout format for Shipping – Label field. This needs to be configured for the users that will send EDI advice and print transport documents.
- Register shipping services and templates (optional) in the Shipping services procedure. In the Code for shipment template field in that procedure, you should enter the same name as you entered in your corresponding template in the nShift account.
- Link the delivery methods to shipping agents, shipping services, and shipment templates in the Terms procedure. The settings in the template linked to the delivery method of the order, will then automatically be loaded for the shipment. In the procedure Register shipment you can, when needed, override most of the default settings for a specific shipment.

Only the settings you need to make in Monitor ERP are described here.
- Configure settings for Export to file for the Shipping export type in the Settings for export/import procedure.
- In the Supplier register procedure, select Export to file in the setting called Export plugin.

- Check that all information for the shipment is correct and complete under the Header tab. Don't forget additional services, if any, for the shipment. This can be added under the Additional services button

- In the Packages box under the Header tab, you can check and update the package information.
- When needed, you activate Use customs info under the Customs information tab and update the information under Customs info – Header and load customs related information with the help of Load customs information button
in the Rows box.
- Click the Export button
on the toolbar or press Ctrl + Shift + E in the procedure to export the shipment. The shipment will then be transferred (via a web request) to the shipping service. The shipment contains information about the sender, recipient, number of packages in the shipment, selected shipping agent, service, and if the shipment is consolidated, etc.
- nShift or Logtrade registers the shipment and sends back a shipment number and printout of the transport documents in the same way. The documents will automatically be printed on the printer you have selected. Shipment number and package number, if any, will be displayed in the fields Shipping agent's shipment no. and Shipping agent's package number on the header row in the procedure. The status of the shipment will also be updated and is shown in the Status field on the header row.

- Check that all information for the shipment is correct and complete under the Header tab. Don't forget additional services, if any, for the shipment. This can be added under the Additional services button

- In the Packages box under the Header tab, you can check and update the package information.
- When needed, you activate Use customs info under the Customs information tab, update the information under Customs info – Header and load customs related information with the help of the Load customs information button
in the Rows box.
- Click the Export button
on the toolbar or press Ctrl + Shift + E in the procedure to export the shipment. The shipment is then sent as a JSON file to the path which you entered in Settings for export/import procedure. The status of the shipment will also be updated and is shown in the Status field on the header row.

If you should have to make a reprint of the transport documents for the shipment, use the Reprint shipment button on the toolbar. When integrating with nShift Delivery, the printout button is deactivated for 60 minutes after the first printout for the shipment. After that, it will be possible to print new copies of the shipment's freight documents via nShift Delivery's website.

By clicking the Send e-mail button you access two options, to either send waybill or shipment advise via e-mail to your customer. The e-mail address entered under Recipient is used.

If the export of the shipment should fail, a message will appear on screen and also in the Status field on the header row. Then you can use the Login to [shipping service] button on the toolbar to login to the shipping service and check and adjust the account settings, if needed. If there is incorrect information or information missing for the actual shipment, you are recommended to primarily adjust this issue in Monitor ERP and then export the shipment again.
You can also, at any time, check the operational status by using the button called Operational status for [shipping status] on the toolbar.

For it to be possible to EDI export a dispatch advice for pick lists with package structure, the customer on the pick list must be configured for EDI (that is, be included in an EDI behavior in the EDI behaviors procedure). Also, the pick list must not be excluded from EDI (which is configured by clicking the EDI button in the Pack for delivery procedure).
- As Type you should choose the source of information called Pick list
A pick list is a list of parts/products which should be picked from stock for a manufacturing order or a customer order. with package structure in the Source of information box.
- In the Source of information field on the row in the table you add the pick list for which the dispatch advice should be exported via EDI. Make sure it says Yes in the EDI export field. It will not be possible to EDI export the dispatch advice for the pick list if it says No. You can also add more rows with pick lists if you want dispatch advice for these to be included in the same EDI export.
- Click the EDI export button
on the toolbar of the procedure to execute the export. You can then monitor the export in the Manage EDI transactions procedure.
